Privacy Policy

WeddingMate holds two kinds of information: yours, and your guests'. Your guests never signed up for anything, so this page is written to be readable by them too.
Who we are
WeddingMate is an independent service built and run in New Zealand. We are the agency responsible for the personal information described here, under the Privacy Act 2020, and New Zealand law applies to it. Every message to the address below reaches the person who runs it — there is no support queue to get lost in. You can reach us at support@weddingmate.co.nz.
If you are a wedding guest
You are probably here because a couple sent you a link to reply to their invitation. They entered your name and contact details; we did not collect them from you, and we do not use them for anything except helping that couple plan their wedding.
The couple can see everything you enter on your RSVP — whether you are coming, who you are bringing, any dietary requirements, and any message you write them. Treat it as something you are sending to them, because that is what it is.
We never email you about anything other than that wedding. No marketing, ever. If you would rather we did not hold your details at all, ask the couple to remove you, or write to us at support@weddingmate.co.nz and we will deal with it directly.
What we collect
From couples
- Your name, your partner’s name and your email address, to create an account.
- Wedding details you enter: date, times, venue names and addresses, your story, travel notes, FAQs, dress code, and any photos you upload.
- Payment details when you buy a plan. These go directly to our payment provider — we never see or store your card number. If you set up registry payouts, that provider also collects your bank and identity details to meet its own legal obligations.
About guests, entered by the couple
- Name, and email address or mobile number if the couple has one.
- Which household or group they belong to, and any notes or tags the couple adds.
- Whether an invitation was sent, delivered, opened, or bounced. We do not track guests beyond that.
From guests, at RSVP
- Whether they are attending, and the names of anyone they are bringing.
- Dietary requirements and allergies. This is health information, and we treat it as the most sensitive thing on the page. It is visible only to the couple and whoever they share their guest list with, and it exists so nobody gets served something that harms them.
- Whether an attendee is a child, and their age. Collected so couples can plan catering and seating, and for no other purpose.
- Any message or song request they choose to write.
Why we collect it
To run the wedding. Guest lists exist to send invitations; RSVPs exist to tell the couple who is coming; dietary requirements exist to tell a caterer. We do not build profiles, we do not sell anything to anyone, and we do not use guest information to market to guests.
We also use aggregate, non-identifying figures — how many weddings exist, how many invitations were sent — to understand whether the product works.
Who else sees it
We use a small number of specialist providers to run WeddingMate. Each receives only what it needs to do its job. Several operate outside New Zealand, which the Privacy Act treats as a disclosure, so each is listed with where it holds information. If you want to know which provider handles a particular category, ask us and we will tell you.
| What for | What they receive | Where |
|---|---|---|
| Hosting and database | Everything you and your guests enter, plus account credentials and server logs. | Australia and the United States |
| Email delivery | Guest names and email addresses, and the contents of invitations and reminders. | United States |
| Payments and registry payouts | Payment details, which go to the payment provider directly and are never stored by us. Bank and identity details if you set up registry payouts. | United States and worldwide |
| Maps and directions | Venue addresses, and the viewer's request to the map provider when a map loads. | United States |
| Error monitoring | Technical details when something breaks. Guest RSVP links are stripped before they are sent, and we do not attach names, email addresses or IP addresses. | United States |
| Bot protection on sign-up | Technical signals from your browser. No names or email addresses. | Worldwide |
We do not sell personal information, and we do not share it with advertisers. We will disclose information if the law requires it.
RSVP links
Every guest gets a private link to their RSVP. Anyone holding that link can reply as that guest and see the wedding details, so it works rather like a key — which is why we strip these links out of our error logs before they leave our systems.
Couples can share those links however they like, including by text or messaging app. How they are passed on after that is up to the couple.
How long we keep it
While the couple’s account exists. If a couple deletes their wedding, the guest list, RSVPs and photos go with it and we cannot get them back.
We keep records of payments for as long as tax and accounting law requires, even after an account is closed. Those records identify the purchase, not guests.
Keeping it safe
Data is encrypted in transit and at rest. Access is restricted per wedding at the database level, so one couple cannot read another’s guest list. Passwords are hashed and we never see them.
If a breach happens that could cause serious harm, we will notify the Office of the Privacy Commissioner and the people affected, as Part 6 of the Privacy Act requires.
Your rights
You can ask what we hold about you and ask us to correct it — principles 6 and 7 of the Privacy Act. Couples can do most of this themselves in the app. Guests should ask the couple first, since it is their guest list, but you are welcome to come to us instead if you would rather not.
If you are unhappy with how we have handled your information, tell us first and we will try to put it right. You can also complain to the Office of the Privacy Commissioner.
Cookies
We use cookies to keep you signed in, to remember which wedding you are working on, and to remember that you have unlocked a password-protected wedding site. There are no advertising or tracking cookies, and no third-party analytics.
Changes
If we change this policy in a way that matters, we will say so on this page and update the date at the top. Our Terms of Service cover the rest of the relationship.
